Oral/ Poster Presentation Guidelines

Instructions for Oral Presenters

Presentation Requirements

  • · The allocation of time slots for each speaker is variable. Please verify your assigned time in the attached program. Given the tight schedule for presentation sessions, it is crucial that all presenters are well-prepared and punctual for their scheduled presentations.

Technical Requirements

  • · Prepare your presentation in PowerPoint, in 16:9 ratio. Include the title of your presentation, as it appears in the final program, on your first slide.
    · Videos must be embedded in PowerPoint. Do not use links to YouTube or other webservices in your presentations.
    · To use MAC presentations on the PC-compatible conference computer, please follow the instructions below:
    • a) Convert the presentation to PowerPoint format.
    • b) Use common fonts, such as Arial, Times New Roman, or Verdana.
    • c) Insert images as JPG files (rather than TIF, PNG, or PICT, as these may not display properly on a PC running PowerPoint).

    Upload Your Presentations

    Onsite Preparation

    • · There will be a “File Submission Desk” near session room with staff who will answer questions you might have and provide service and help with uploading your presentation file when needed.
      · Please note that your final version and changes must be done at the latest 2 hours in advance to your presentation. Oral presenters in morning sessions are strongly advised to upload their presentation the day before.
      · To make sure presentations run smoothly during the sessions you are expected to use the computer provided by conference organizer while giving your presentation.
      · During your session, please sit close to the stage for easy access to the stage. Once the session starts, you will be introduced by the Session Chair and the AV team will place your presentation on screen.
      · If there is an unavoidable cancellation of a presentation during the session, it will be replaced by the next presentation. So, please make sure to be present throughout the session.
